Start

Getting started

From sign-up to a live profile takes about 15 minutes. You only need your photos, your prices and a mobile number.

1Create your account at shootlanka.lk/join with your name, mobile number and email.
2Pick a plan and pay for a month or a year. Your profile goes live as soon as the payment is confirmed.
3Fill in your Profile: profile picture, cover photo, tagline, a few lines about you, your district, the styles you shoot and your packages with prices.
4Upload your best work to Portfolio, organised into albums by shoot. New photos are checked by our team before they go live.
5Share your profile. Copy your short link for your Instagram bio and WhatsApp status, and download your profile card from the Overview.

Tip: Profiles with a cover photo, at least three albums and packages with prices get far more inquiries. Clients like to know what to expect before they message.

Start

Your Overview

The first page you see after logging in: everything that needs your attention today.

Today and the next 7 days.: Shoots, meetings, payments due and galleries closing, in date order.
Profile card and share kit.: A profile card, a feed post and a story, designed from your photos and rating. Choose the photos, then share or download.
Business card.: Print-ready at 3.5 × 2 inches with a QR code to your profile. Print a sheet of 10 at any print shop.
Money coming in.: Payments due soon, and bank slips waiting for you to check.
Anniversaries coming up.: Send a past couple a WhatsApp message on their anniversary. It keeps you in mind for their next shoot.

Bookings

Inquiries

When a client messages you from your profile, it lands here and you get an SMS and an email straight away. Each inquiry comes with the client's name, contact details and event date.

Reply your way.: Tap their WhatsApp number, phone number or email to reply.
Create quote.: Turn the inquiry into a priced quote, with the client's details filled in.
Mark replied.: Keep track of who's still waiting for an answer. The number on the menu shows new inquiries.
Archive and export.: Archive inquiries that went nowhere, or export them all to a spreadsheet.

Tip: Reply within a few hours. Couples usually message several photographers, and the first good reply often wins the booking.

Bookings

Quotes

A quote is a priced offer your client accepts and signs online. When they accept, it becomes a booking and the date is blocked on your calendar automatically.

1Go to Quotes › New quote (or Create quote from an inquiry).
2Pick the customer, or type a new one, and add the type of shoot, date and place.
3Add items from your packages, or write your own. Add extras and a discount if you like.
4Set the payment schedule, for example an advance when they sign and the balance a week before the event.
5Send it. Copy the link or send it on WhatsApp in one tap. Your client sees your logo and signature, and signs on their phone to accept.

Bookings

Every job in one list: weddings that came through a quote, and walk-ins or phone bookings you add yourself with New booking. The top of the page shows what you received this month and what's still to collect.

Quote.: What was agreed, the client's signature and your own.
Day plan.: The timeline for the day. Your client adds their nekath times and must-have family photos; you add the rest and tick shots off on the day.
Requests.: Changes or special requests from your client, in one thread.
Payments.: Every payment, slip and receipt (see below).
Photos and QR event.: Sneak peeks, the final gallery and guest uploads for this booking.
Album.: Album pages for your client to approve (see below).
Activity.: A record of everything that happened: sent, signed, paid, delivered.

Bookings

Payments and receipts

Each booking has its own payment schedule. Clients pay you directly, by bank transfer or cash, never through us.

Bank slips.: When a client uploads a transfer slip, you get a message. Check it, then tap Mark received.
Cash and other payments.: Record money received with how it was paid: cash, bank transfer, card or cheque.
Receipts.: Every received payment has a receipt with your logo, the amount in words and your signature.
Extra charges.: Event ran late? Add an extra hour or thank-you cards afterwards. Your client sees it with your note and pays it like any other payment.
Reminders.: Clients get an SMS before each payment is due, so you don't have to chase them.

Bookings

Album approvals

No more sending album pages back and forth on WhatsApp. Upload the pages on the booking's Album tab; your client approves each page or asks for a change with a note. Upload a new version and it goes back for approval. You get a message when every page is approved and it's ready to print.

Calendar

Your bookings, day plans, payments due, galleries closing and your own reminders in one month view. Tap any day to see what's on it.

Mark busy or free.: Busy days are hidden from couples searching by date, so you only get inquiries for days you can take.
Add event or reminder.: Meetings, gear servicing, anything you want to remember.
Show on my profile.: Let visitors see your booked dates. Switch it off if you'd rather keep them private.
Sync to your phone.: Add the calendar to Google Calendar or Apple Calendar. Bookings and day-plan times appear there and update themselves.

Customers and archive

Every client gets a customer ID (C-0001, C-0002…) the first time they inquire or book, and keeps it. The same mobile number or email is always the same customer. Open a customer to see everything they've booked and paid, and add private notes.

Archive.: Archived bookings, quotes and inquiries are kept for 90 days, then deleted with their files. Restore anything you still need before then.
Export.: Download your customers, inquiries or bookings as a spreadsheet any time. Your data is yours.

Delivery

Client galleries

Deliver the finished photos with a private link. Your client views them full screen, picks favourites for the album and downloads them.

1Go to Client galleries › New gallery and link it to the booking.
2Upload the photos. Your watermark is added as they upload (you can switch it off per gallery).
3Tap Send on WhatsApp. The gallery also appears on your client's booking page.
4See which photos they picked with Show only their picks, or copy the list of file names for your album designer.

Downloads after payment.: Keep downloads closed until the booking is fully paid. Your client can still view and pick favourites.
Full-size originals.: Add a link to your own Google Drive or Dropbox folder for full-resolution files, with an optional access code.
Closing.: The gallery stays open for a few days after delivery, then it's deleted. Your client gets a text the day before.
Reviews.: Clients can review you from the gallery, so every review comes from someone you actually photographed.

Delivery

QR events

Print a QR code for the tables. Guests scan it with their phone camera and add their photos to one shared album: no app, no sign-up. A live slideshow can show new photos on the venue screen as they arrive.

You stay in control.: Hide any photo, or pause uploads at any time.
Upload window.: Guests can add photos for a set time after the event; the photos are kept for your client to download for a while after that.
Easiest from the booking.: Create the event from the booking's QR event tab, so it's linked to your client.

Profile, portfolio and reviews

What clients see before they contact you.

Profile.: Your details, packages and prices. Fully booked or taking a break? Hide your profile for a while; nothing is deleted.
Portfolio.: Group photos into albums by shoot, tag the venue, hide albums, and choose what visitors see first and in what order.
Reviews.: Read reviews from real clients and reply publicly. A kind reply to a mixed review looks great to future clients.

Your profile

Branding

Set these once and they appear everywhere automatically.

Logo.: Shown at the top of every quote. A PNG with a transparent background looks best.
Signature.: Draw it with your finger. It's added to quotes and receipts.
Bank details.: Shown to clients on their payment schedule, so they know where to transfer.
Watermark.: Your name or logo, stamped on gallery photos as they upload, in the position you choose.

Grow

Grow your business

Tools to get more people to your profile, and to see what's working.

Insights.: Visitors today, this week and this month; profile views, inquiries, WhatsApp and phone taps, shortlists and shares, compared with the month before.
Reels.: Turn an album into a short video for Instagram, Facebook or TikTok, with music, in under a minute. It's made on your phone; nothing is uploaded.
Get featured.: Appear first in a search like "Wedding photographers in Kandy" for a week or more.
Expos.: Exhibiting at a bridal show? Add your stall number. Couples scan one QR code at the show and save the photographers they meet.
Network.: Find a second shooter, assistant, editor or drone operator for your date, or offer your own time and gear. Only photographers can see it.

Money

Expenses, profit and billing

Know what you really earn, and keep your plan running.

Expenses & profit.: Record travel, assistants, editing, printing and other costs, per booking or in general. See income, expenses and profit month by month. Only you can see it.
Billing.: Your plan, when it's paid until, and every invoice. Plans never renew by themselves: renew before the end date. Renewing early adds the new time on top of what you have left.
If your plan ends.: We send an SMS a few days before. If it ends, your profile is hidden from the site until you renew. Nothing is deleted.

Money

Settings and privacy

Your business data is private, and the database itself enforces it.

Private by default.: Only you can see your quotes, payments, customers, inquiries and galleries. We never contact your clients, and never sell or share your data.
Support access.: Need help with a booking? Let our support team look, read only, for a time you choose. You see every look in Support activity.
Your ShootLanka ID.: Your permanent photographer ID (like SL-0001). Quote it when you contact us.
Short link.: A short address for your Instagram bio, WhatsApp status and business card.
